Company Size and ID Systems

March 10th, 2010

Having effective ID systems in place is an essential consideration for a lot of businesses, but you need to choose the right one so you don’t waste time and money or pose a security risk. Your system needs to suit the size and type of your business, and luckily with so many options there’s bound to be one that’s just perfect for you.

Which ID system you go for will largely depend on the volume of ID cards required, so if you’re a smaller company you can afford to go for a cheaper option than a larger corporation which will have extremely high volume requirements.

For small businesses that don’t have a dedicated ID station there’s also the option of portable ID systems, offering the ultimate in convenience. You can even get different ID card systems according to the industry your business occupies, such as those designed for licences, public services and even prisons, so there’s bound to be something to suit.

It’s important to note, however, that you always need to be prepared for expansion. Even if you’re a small company now you need to prepare for the fact that you might be a lot bigger one day, and that’s why you should always choose an ID system that can be fully upgraded without any hassle or loss of data.

So, it’s vitally important that you choose the right ID system for your business, and for a great range make sure to see what we’ve got here at ID Management Systems. We have ID card systems to suit all types and size of business, and with all options being fully-upgradable and coming complete with everything you need to get started you’ll never need to go anywhere else.

ID Cards for Businesses

March 9th, 2010

Effective ID systems are essential for a whole host of businesses, from sole tradesman right up to multi-national corporations. Failing to have the proper systems in place can lead to numerous problems, so it’s vital that the right ones are implemented.

Proper ID systems and ID cards give companies that extra security that’s so often required these days. Security risks are becoming more and more prevalent so it’s vital that businesses know exactly who’s on their premises, including visitors as well as staff, so being able to have ID cards and even visitors passes is an essential consideration.

This not only protects the interests of the company but also the interests of the staff, as no-one will be able to get on the property without relevant ID. The quality of the ID card systems and its subsequent cards is also an essential consideration, as there’s no point having a system in place if the cards can easily be tampered with.

A proper ID system is also essential if staff members are to visit clients or customers in their home. If you want your customers to feel at ease then it’s essential that your employees have valid ID cards at all times, as this not only looks professional but also gives customers proof of who they’re dealing with so they feel more comfortable.

So, it really is important to implement a proper and effective ID card system in your business. Failing to do so can create a security risk, will look unprofessional and can damage your reputation and your business, so always have proper ID systems and ID cards in place, preferably through us here at ID Management Systems.

Choosing a Supplier for your ID Cards

March 4th, 2010

Having durable, top quality ID cards is sure to be at the top of the agenda for many businesses, but how do you know where to find the best ones? Here are a few things you need to remember when choosing your ID cards supplier.

- Look for suppliers that are well-respected in the field. This often means asking around for recommendations of potential suppliers, but if that isn’t possible try searching online for testimonials of happy customers to see which company they used.

- The supplier should always be experienced and should have the latest technologies to give you the best ID card systems possible. There’s no point going for companies who have card printers and the like that are out of date as that poses a security risk, so always go for the best technology that you can.

- Go for companies that offer quality products at the best prices. You often have to pay more for quality, but that’s a small price to pay for the added peace of mind you can get by knowing that you’ve got the best ID cards possible.

- Choose companies that can implement your ID system effectively to give you top quality plastic cards, but who can also offer you expert advice on which ones would be right for you.

These are just a few things you should remember when choosing your ID cards supplier, and for a company that can give you all of this and more make sure to come to us here at ID Management Systems to see what we can do for you.

Importance of Security

March 2nd, 2010

These days, security and identification is more important than ever. That’s what makes ID cards so important for many businesses and is why the right ones always need to be chosen, but there are a few things that you need to remember when implementing your ID cards system if you want to get the best cards possible. Here are just a few of them.

First up, it’s important to note that your ID cards should be tamperproof, so you need a system that can offer that feature. There’s no point in having cards that can easily have the picture changed as that entirely defeats the object, as in order to maintain effective security you need to know exactly who you’ve got on your property.

Another point is their durability. If you’re giving out new ID cards to your employees you don’t want to have to change them in the next 6 months as that means more time and money wasted, so always go for durable, laminated ID cards that can go the distance.

It’s also important to have ID card systems that can be easily maintained, either by your own staff or by a support team that can come to your site if needs be, as this not only ensures that the system continues to run effectively but also increases your security.

These are just a few points you need to bear in mind when choosing your ID cards and system, and if you’re after a company that can provide all of these things and more then make sure to see what we have to offer here at ID Management Systems.

Restricted Access In The Workplace

February 24th, 2010

Depending on what a business does, it may not be appropriate for every person working there to have access to all areas of the buildings. For instance, in the workshops or factories where specialised chemicals or potentially dangerous tools are being used, it makes sense to keep access restricted to specific personnel who actually work in the area rather than anyone who works on the premises. Equally, many companies are extremely particular who they allow into their laboratories or Research and Development areas, for security reasons.

Issuing all personnel with colour coded ID cards means that not only are they identifiable by name but it can be seen at a glance, even from a distance, whether they are authorised to be in a restricted area. For many years we have supplied the plastic cards, ID card printers and ID card software for companies to do plastic card printing on the premises and in the shortest possible time. Having your own equipment means that any new staff can be issued with a card immediately they start work for the company and  also that any visitors can be issued with the appropriate ID card or pass before they are allowed out of the reception area.

Although a simple tool our clients across the world have found that these cards can make a big difference to security within your company premises at minimal cost and with maximum efficiency. We are always delighted to discuss any requirements you may have or to arrange a demonstration of what can be achieved within your company.

Conference Identity Cards

February 23rd, 2010

There are two major factors involved in conferences or trade shows. One is learning new information and the other is the opportunity to network and make new contacts. No one would bother attending either if they were not going to learn something to their advantage and get a chance to renew old acquaintances or make new ones. One thing that is extremely useful for both the conference and trade show scenarios is helping delegates or visitors to identify who they are talking to and what they do.

As a venue organiser, it should be a service you either offer or arrange as a matter of course. Here at ID Management Systems we have been supplying our customers with the appropriate machinery and software programmes to produce plastic ID cards – and even with photos this only takes a few minutes and can easily be built into the registration period of a conference. At many conferences, some sessions or entrance to specific areas can be entered by booking or invitation only and it is easy to set up several slightly different ID cards that can act like passes allowing appropriate entry.

At trade shows you will find that by identifying each visitor by name and the company they represent using plastic cards, they can easily be identified when they come onto the individual stands and the exhibitors know instantly who they are talking to, and what they may be interested in. Any service you can offer your clients as the venue organiser is worthwhile and ID cards will suit practically every hirer.

The Image You Present

February 18th, 2010

More and more businesses and organisations are using ID cards for their staff or members. Whilst we have been supplying complete ID systems to all kinds of enterprises for many years, one of the things that is becoming far more considered is the look of the card. Whereas some years ago just having the name of the organization and the cardholder was deemed sufficient, today more are designed to fit in with an image that the provider is seeking to promote.

For instance some companies will want to use their corporate colours and may include their logo. Clubs who use plastic ID cards for their members like to personalize them, for instance golf clubs with a semi-tone image of a course or a player used as the background over which the identification information is printed. Giving careful thought to the design of your ID cards gives you the opportunity to convey an almost subliminal message. In effect, they can be a marketing tool as well as a form of identification.

The ID cards themselves only take a very short time to make even if you are including printing a picture of the card holder on them so they are very convenient to produce for each individual. The simple to use software that we supply can be used to modify the look of any card so you can have several different versions of the same thing, for instance if you have full and part members of your group or club then you can use different colourways to differentiate at a glance.

Use ID Cards To Tell The Surgeon From The Plumber

February 17th, 2010

When you are a patient in hospital these days it is very difficult to tell who is who. You used to be able to tell the different levels of nurse because they worn different uniforms, and you could always tell who the doctor was because they were the one in the white coat. However, times have changed, and you are now likely to meet a surgeon in scrubs and an orderly in a white coat. It can be a bit unnerving wondering if you are being examined by the right person when they have forgotten to introduce themselves. Luckily, in most hospitals, all the staff wear ID cards with their job title and a photo and this is invaluable in promoting patient confidence.

However, the problem of not knowing if you are talking to the right person is common across many businesses which interact with the public. Here at ID Management Systems we provide ID systems for all kinds of services and companies and have found that something as simple as ID cards should not be underestimated.

Just knowing the name of the person you are talking to, for instance, at the town hall or even in a shop, can make the difference between a good experience for your customer and one that is rated as less satisfactory. One of the things that most public services are stringently measured on these days is client satisfaction, so learn from them and make sure your people can be identified through ID cards to give your customers a better service.

Corporate Identity

February 16th, 2010

Getting the right look to project the image of our business that we want other people to perceive can be a difficult, but when everything from your stationery via your staff uniforms to your office furnishings is all perfect, it is worth the effort. It is important for your business to stand out from the crowd.  Therefore, it makes sense to make sure that your individual employees also stand out. Everyone in the company being able to have a conversation with each other and know who they are talking to can make a huge impact on staff relations within the company, and the larger the company becomes, the more important that can be.

If all staff wear ID Cards with, for instance their name, photograph and which department they work in then when people from different departments meet within the workplace they instantly know each other’s name. Research shows that using first names in conversations makes the other person feel more positive and inclined to be helpful. Anyone in a big company knows that only too often different departments often seem to be working against each other rather that realizing that they are all part of the same whole.

Here at ID Management Systems we supply everything you need to set up in-house ID systems. We have customers from all sizes of businesses here in the UK and abroad who have experienced the benefits of a system of ID cards within the workplace and we are always happy to advise on the right system for any company or group.

ID Cards Make It Official

February 10th, 2010

One of the most interesting things about ID cards is the way that people react to them. A smart card with a photo image of the wearer that has the name and logo of the company or group that they represent gives the wearer an automatic level of acceptability that they would not have without it.

Instead of being seen as an individual, the card identifies them as part of the institution and that is how they are treated. This is essential when they have to work in a person’s own home. Having strangers come into the house is actually highly stressful for some people, even if they are expecting a man to come and mend the washing machine, for example, a total stranger at the door can be frightening. The wearer of a company ID card, on the other hand, is somehow seen as part of a company and intrinsically safer.

Getting ID systems organised is surprisingly easy, here at ID Management we can offer all the advice you need to make an informed choice of the equipment and software that you need. It actually takes a surprisingly short amount of time to make plastic cards for each person complete with a photograph, very similar to a driving license.  These can then be protected in a plastic wallet and worn round the neck on an ID lanyard, or if preferred clipped to the jacket or trousers. If you are supplying employees who are working with machinery then our quick release lanyards offer greater safety.
