The Internet has been great for business and ecommerce is a wonderful thing, but when you’re dealing with technology, especially when you’re new to it, isn’t it nicer when you can just talk to someone?

At ID Management Systems we have huge amounts of visitors to our website and lots of people happily order their plastic card printers, access cards and related equipment without needing to talk to us and that’s great, but that doesn’t mean we don’t want to hear from you.

What else do you need to think about when designing ID cards?

Once you’ve figured out which way round your want your plastic ID cards to be and what sort of information you want to put on them, it’s time to start figuring out where all of the different bits will go.

If you can, it’s often a good idea to put all of the information that needs to change between cards onto the front and keep the back standardised, this means that you can batch-print the backs of the cards in a run and then do the fronts individually, which means that you don’t necessarily need a double-sided printer and can be an easy way to save some money.

We recommend trying to keep cards as simple and clear as possible, a good guide is to see how readable your cards are when seen from a slight distance, for example when being worn by somebody at a normal distance for conversation. If your cards are supposed to be on display all the time, isn’t it a good idea to make sure that they can easily be seen and checked?

What else do you need on an ID card?

As well as dynamic information, the bits that change with every card, like photos, names and so forth, there will also be static information. These are the things that are the same from card to card and are the fixed aspects of your design. These can include:

Your company name and logo: it’s very rare to not want to include your company branding on your ID cards, usually you want it to be big and clear for anyone to see on the cards.

Your contact details: generally it’s a good idea to include your full contact details and address on your card. If it would look too crowded to have it on the front, why not have it on the reverse of the card? You can also use this as a chance to list an “if found, please return to…” address.

Terms and conditions: it’s normal to find cards with quite a lot of information on the back, detailing the rights that the card conveys, and any limitations on those rights, e.g. if a card is to be treated as formal proof of identity, whether it gives a right of entry to the holder.

Health and safety information: it’s common for cards to have information on things like fire regulations, rules for smoking, evacuation points and the like.

These are general types of information that are common to most cards, but there are many other things that you may need.

More information you can include on an ID card

We’ve covered some of the basics of dynamic information that you can include on a plastic ID card, like name, photo, job title and an issue or expiry date, but there’s lots of other things that might be necessary.

Staff/student number: if members of your organisation have a number that is used on your systems to identify them, it’s usually a good idea to include it on their card.

Signature: less popular than it used to be, some types of cards still legally require a signature and some organisations prefer them to be included. A signature can be added to a card either by electronically capturing them or by having a signature strip on the card that the bearer can sign using a normal pen.

Access level: in organisations which have different levels of security access and authority, it can be a good idea to make this as clear as possible on individual cards. A common way to do it involves colour coding, using for example a block of a specific colour to denote each level.

These are all general things that are relevant to most types of ID cards, but there are many other things that are useful for specific industries and functions, so it’s worth taking the time to think about what you’re trying to achieve with your card to know what information you will require on it.

Suggestions for things you can include on your ID card

We’ve talked before about their being different kinds of information that you can include on an ID card, with a basic division between the information that is fixed on every card (logo, standard text) and the things that are different each time (name, photo), today we’re going to cover a few examples of things that you might want to include that change from card to card

Name: practically a given, it’s very rare to have an ID card that doesn’t have the person’s name, and then it’s generally only in a situation where including it would have security implications.

Photo: the individual’s photo is a very good thing to include and is the simplest way to confirm that the person holding the card is the person it applies to.

Job title: usually a good idea, because it’s generally helpful to know if the person carrying an ID card for your organisation is a cleaner or the MD.

Issue/expiry date: issue dates are the date that the card was produced, expiry dates are when it is no longer valid. It’s not usually necessary to have both and we find that an expiry date is more useful. Somewhere between one and three years from the date of production is about right.

ID cards help to protect your company’s reputation and your customers

If you organisation has staff that regularly deal face-to-face with the public then it is only sensible to want to issue them all with plastic ID cards. This means that whenever someone presents themselves to a member of the public as being one of your representatives it can be easily validated to make sure that they are.

It’s also a good idea to have a phone number listed on your staff ID cards that people can call to check any information that they need to when shown one of your cards.

People are increasingly security conscious and it is always advisable to check someone’s credentials before supplying them with sensitive information like bank details, or letting them into your home for any reason.

One of the main reasons that we hear from companies for why they don’t issue plastic ID cards for their staff is cost; that they don’t think that they can afford to do it. While it is understandable in the current economic climate for companies to be very careful with their money, the potential benefits of issuing ID cards to staff can far outweigh the cost.

Security is obviously a major concern for all companies and it is essential to make sure that only those people that should are able to access your premises or represent your company.

For larger companies it isn’t always possible for people to recognise everybody and know that people are where they are supposed to be.  ID cards for staff are an easy way to avoid this problem.

For companies that have people that go out and about and deal directly with customers it is essential that customers are confident that they are only dealing with legitimate representatives of your company.
